doveware Techpreneur ("doveware", "we", "us") makes business software for businesses, churches and institutions in Tanzania: online services, installed products, custom systems and training. This policy explains what personal data we collect, why, and how we protect it. It covers this website, www.doveware.co.tz, the customer portal, and the services we provide to our customers.

1. Who we are

doveware Techpreneur is a Tanzanian software company based in Kahama, Shinyanga. You can reach us at doveware@gmail.com or on WhatsApp at +255 757 327 199 with any question about this policy or your data.

2. Information we collect

• Contact details you give us: name, organisation, email and phone number
• Messages you send us through our Contact / Request a quote form, by email or on WhatsApp, and your support tickets
• Your account details: name, email and phone number. Your password is stored only in scrambled (hashed) form, so nobody can read it, including us
• Billing and payment information processed through our payment partner (we never see or store your mobile money PIN or card details)
• Technical licensing data for installed products, including the device identifier (MAC address) used to lock a licence to your device
• A record of the service emails we send you, such as receipts and licence notices. The links inside password reset emails are not kept
• Basic technical logs (such as sign-in times and IP address), used for security and troubleshooting
• General website usage data collected through Google Analytics and Microsoft Clarity (such as pages visited, time spent on the site, general location, and anonymised session recordings and heatmaps showing how visitors use our pages), used to understand and improve our website

3. How we use this information

We use your information to:

• Provide, set up and license the software and services you use
• Reply to your enquiries and send quotations
• Process payments and issue invoices and receipts
• Send service emails, such as receipts, licence notices and password reset links. We do not send you marketing messages without your permission
• Respond to support requests
• Keep our systems and your account secure
• Understand and improve our website

4. Information our customers keep in our systems

Our customers use our software to keep information about their own customers, members, staff or patients. For example, a church keeps information about its members, and a hospital or SACCO may keep health or financial information. That information belongs to and is controlled by our customer, not by doveware. Some of it is sensitive personal data under the law, such as information about a person's religion, health or finances. We process it only on our customer's instructions and for the purposes agreed with them, we protect it as described in section 10, and we never use it for our own purposes.

5. Where your data is stored

Our online services run on a server in a data centre in Europe. This means your data is stored outside Tanzania. We chose a region with strong data protection laws, and we protect the data as described in section 10. If you would like to know more about where your specific data is kept, contact us and we will tell you plainly.

6. Sharing your information

We do not sell your personal data. We share it only with the service providers who help us run our services, and only as much as each one needs: our hosting provider, our email delivery service, our payment partner and the mobile money networks and banks that carry your payment, and Google Analytics and Microsoft Clarity for website usage statistics. We may also share information when the law requires it.

7. Cookies

Our website uses a few small files called cookies. Essential cookies keep you signed in and protect our forms against misuse; the site does not work properly without them. Google Analytics and Microsoft Clarity set cookies to count visits and show us how our pages are used. You can block or delete cookies in your browser settings.

8. Data retention

We keep personal data for as long as your account, licence or service is active, and afterwards only as long as reasonably necessary for legal, accounting or legitimate business purposes.

9. Your rights

You may ask us to access, correct or delete your personal data, or object to certain uses of it, by emailing doveware@gmail.com. If your information is held by one of our customers (for example your church), please contact them first; we will help them answer you. You also have the right to lodge a complaint with Tanzania's Personal Data Protection Commission (PDPC) if you believe your data has been mishandled.

10. Security

We protect your data with:

• Secure connections (HTTPS) on every page
• Passwords stored only in scrambled (hashed) form
• Two-step sign-in for our staff
• Access by role, so each person sees only what their work needs
• A record of important changes, showing who made them and when
• Nightly backups, each kept for 14 days

No system is perfectly secure, but we work to keep your data safe and will tell you promptly if a problem affects it.

11. Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top shows the most recent change.
